Supplier Management Workbook

Overview. 

The Supplier Management Workbook lies at the heart of the SMaRT suite of toolkits.  It brings together all the tools, templates and documents you will need to manage a key supplier.   

Use it fully and professionally and you will soon be maximising the value you get from your supplier whilst minimising the risk.   

You will need to deploy a Supplier Management Workbook for each of your key suppliers.   

 

Why?

The Supplier Management Workbook builds into a hugely valuable, single repository for all key information relating to your relationship with a key supplier.  All your key information on the relationship will be in one document.  Any documentation that sits outside of the Workbook can be accessed via a link from the Workbook.  It’s a one-stop shop. 

To provide an easy to use and easy to maintain document that is accessible to all appropriate personnel. 

What is the Supplier Management Workbook?

An Excel document consisting of over 30 tabs within it that allows for all key information relating to your relationship with a key supplier to be consolidated into a single document. 

 

 

How should you use it?

Collate all necessary information from the Change/Projects Team, Procurement, Legal and others in order to be able to populate the Workbook at the start of a relationship with a key supplier.   

Once you have populated all the information in the Workbook, you can secure the necessary approvals for those aspects that require it.   

Continuously maintain the Workbook so that it stays up to date and represents an accurate and current view of the relationship at all times. 

When?

A Supplier Management Workbook should be completed at the same time that mobilising service delivery from a new or existing key supplier is occurring.   

It should be maintained throughout a relationship with a key supplier, to ensure it is never out of date. 

Who?

The person who has primary responsibility for the relationship with the key supplier should populate the Supplier Management Workbook.  This may be a Supplier Manager, Contract Manager or Procurement Manager.  It could even be someone else depending on how you manage suppliers in your organisation.   

An Executive Sponsor is accountable for ensuring it is properly used, and that it is delivering value and benefit to your organisation.
